    Job Purpose

    This role provides the primary administrative support for the contracting and workflow process for the BLA group in Asia, including online document filing and system file management, updating of relevant data bases including HIVE, other internal project tracking mechanisms, the drafting and facilitation of renewals and other simple documents and other administrative tasks and general team support functions.

     

    This role provides the individual with ownership and control of the team coordination and administrative functions and procedures and direct exposure to producers, distributors and other key partners both internally and externally in the content creation and acquisition process.

     

    Responsibilities

    Generally:

    • Track and manage the processes across all acquisitions, commissions, co-productions, talent agreements, independent contractor agreements and other transactions negotiated by the BLA group, generate Hive reports as and when requested;
    • Scan and file various documents (both internal and external) concluded by the group and manage the PAF and signature process directly through to full execution; return fully executed agreements to vendors;
    • Liaise as necessary internally to co-ordinate the signature of agreements; regularly update internal systems including Hive with the status of agreements, providing updates to internal stakeholders and follow the approval chain as required to obtain signatures;
    • Support the BLA team in the compilation, collation and reporting of agreement activity to interested internal parties;
    • Liaise where requested on ascertaining rights availability including researching queries in general;Research the availability of rights to content and when requested act as a point of contact for suppliers and internal clients about late payments, materials delivery, scheduling queries, and other administrative enquiries relating to BLA functions
    • Where required and under supervision, negotiate and manage simple contracts, including program renewals, NDAs, acquisitions, and other ad hoc documentation; and
    • Initiate take-down procedures for infringing online content (e.g. YouTube)
    • Provide other ad hoc support to the BLA Team.

     

    Specifically:

    Acquisitions, Commissions and Co-productions, other agreements, general admin

    • Monitor status of projects on Hive working with the appropriate executives to ensure Hive and other internal document filing systems are updated and maintained;
    • Monitor contract signature process for all agreements including acquisitions, amendments, renewals and co-production, production and other deals
    • Where requested, track down relevant agreements to assist the team in their negotiation activities
    • Where requested undertake specific administrative projects including arranging departmental meetings etc.
    • Undertake and/or contribute to ad hoc initiatives, research projects and/or strategy papers, collate and support members of the team in formulating presentations and reports.

    Metrics:

    • Supporting the department including liaising with BLA executives located in Europe and the U.S as and when necessary.
