  • Position Summary

    This position offers a great opportunity for a highly organised, pro-active and enthusiastic individual with a keen interest in starting a career in media.

    This varied role, working within GT&O across several functions, gives the opportunity to gain a working understanding of Post Production Bookings, Broadcast Schedule Operations, Content Operations, Language Strategy and Media Asset Management.

    The role will be supporting three directors within GT&O with diary management, travel and expenses as well as a variety of duties across the departments.

    Responsibilities

    • Assisting with diary management, arranging meetings, presentations, room bookings and video conferences
    • Keeping all holiday/sick records up to date (London, Germany and Turkey teams)
    • Keeping Org charts and department presentations up to date (London, Germany and Turkey teams)
    • Booking international travel for business trips
    • Itineraries for overseas trips and visitors
    • Basic budget estimates (travel/hospitality)
    • Processing department expenses
    • Managing IT requests for new starters
    • Assisting with Desks/Furniture requests for new starters
    • Maintaining graphic floor plan detailing desk usage
    • Working with Facilities coordinating office/desk moves
    • Taking meeting minutes when requested
    • Assisting with Project documentation as requested
    • Managing all training bookings
    • Raising POs and checking invoices
    • Assisting department managers and supervisors with travel, diaries and expenses as required
    • Working within the teams (Post Production Bookings, Broadcast Schedule Operations, Content Operations, Language Strategy and Media Asset Management), giving additional coordination and practical support.
    • Other duties as required

    Requirements

    • I.T. skills: intermediate Excel, Word and Powerpoint skills essential and ScheduAll, IBMS and VISIO experience an advantage.
    • Excellent organisation/administrative skills.
    • Diligent, accurate, methodical with a good eye for detail.
    • Independent, pro-active self-starter who can work unsupervised.
    • Remains calm under pressure.
    • Excellent people and interpersonal skills, good team player.
    • Flexibility and ability to adapt to different demands.
    • High levels of initiative, motivation and time management.
    • Experience in dealing with senior executive personnel.
    • Discretion, professional and personable attitude at all levels.
    • To be adaptable, committed and commercially aware.
    • Able to cope with a fast-paced and demanding work environment.
    • Experience and enthusiasm for the TV Industry or a related industry an advantage.

    • Ability to gain consensus, communicate policy, build relationships and create systems for managing data needed to perform above responsibilities in a timely, effective and cost-efficient manner;
